Privacy Policy

AgentApply ("we", "us", "our") is operated by Vireo LLC. This policy explains what data we collect, how we use it, and your rights.

1. Information We Collect

Account information: Email address, full name, and password (hashed with argon2 — we never store plaintext passwords).

Resume and profile data: Resume text you upload or paste, job titles, location preferences, work arrangement preferences, and other career profile information you provide.

Job search data: Search configurations, discovered jobs, match scores, application materials generated by our AI, and your curation decisions (approve, dismiss, etc.).

Billing data: Subscription tier and payment status. Payment processing is handled entirely by Stripe — we do not store credit card numbers, bank details, or other payment credentials on our servers.

Usage data: AI credit usage, feature interactions, and error logs for debugging and service improvement.

2. How We Use Your Data

• Job matching: Your resume and preferences are processed by AI models (Anthropic Claude) to score job relevance, generate application materials, and provide career coaching.
• Job discovery: We query third-party job board APIs (Greenhouse, Lever, Adzuna, and others) on your behalf using your search preferences. Your personal data is not shared with these job boards.
• Service improvement: Aggregated, de-identified usage patterns help us improve scoring accuracy and feature prioritization.
• Account management: Email address is used for authentication, password resets, and optional notifications.

3. AI Processing

We use Anthropic's Claude models to analyze your resume, score job matches, generate tailored application materials, and provide career coaching. Your data is sent to Anthropic's API for processing. Anthropic does not use API inputs to train their models. See Anthropic's privacy policy for details.

4. Data Storage and Security

Your data is stored on encrypted servers hosted on Amazon Web Services (AWS) in the US West region. We use HTTPS/TLS for all data in transit. Passwords are hashed using argon2. Database backups are encrypted.

While we implement industry-standard security measures, no system is 100% secure. We encourage you to use a strong, unique password.

5. Third-Party Services

• Anthropic (Claude AI): Resume analysis, job matching, application materials generation
• Stripe: Payment processing and subscription management
• Amazon Web Services: Server hosting and infrastructure
• Resend: Transactional email delivery (password resets, notifications)
• Job board APIs: Greenhouse, Lever, Ashby, Adzuna, Jooble, The Muse, and others for job discovery

We do not sell your data to third parties. We do not use advertising trackers or analytics services that profile you across websites.

6. Data Retention

Your data is retained for as long as your account is active. You have full control over your data:

• Selective deletion: Use the Data Management tools in your profile to purge jobs, applications, or search configs at any time.
• Account deletion: You can permanently delete your entire account and all associated data from the Data Management section of your profile. This removes your profile, resume, jobs, applications, search configs, chat history, coaching data, and cancels any active subscription. This action is immediate and irreversible.

7. Your Rights

• Access: You can view and export all your data from the dashboard at any time.
• Correction: You can update your profile, resume, and preferences at any time.
• Deletion: You can purge individual data or permanently delete your entire account and all data from your profile settings.
• Portability: Your resume and application materials are always accessible to you.

8. Cookies

We use a single authentication cookie (JWT token stored in localStorage) to keep you logged in. We do not use third-party tracking cookies, advertising pixels, or cross-site analytics.

9. Children's Privacy

AgentApply is not directed at anyone under 16. We do not knowingly collect data from children.

10. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated via email or a notice in the dashboard. Continued use after changes constitutes acceptance.
